Records Destruction and Storage Pickups

The end of the fiscal year is a great time to dispose of records that have met retention. Keep these best practices in mind when scheduling a destruction pickup from UVA Recycling.

  1. Keep records to be destroyed separate from records being kept or waiting for records storage pickup. Clearly label records that you need to keep and separate them in a secure location.
  2. Communicate to staff about recycling and records storage pickups. Make sure staff are aware that a pickup is scheduled, which records are to be destroyed, and which are going to storage. A staff member should be present during all pickups.
  3. Complete and return the Certificate of Records Destruction (RM3 Form). Before scheduling a pickup, submit a certificate of records destruction to RIM for approval. After pickup, return the completed form to RIM.
